Veterinary records and documents

TweedPet stores copies of veterinary records and documents added to a pet's record by the owner or uploaded by a veterinary practice through an owner's request. This may include:

  • Uploaded veterinary files
  • Record title
  • Record type
  • Record date
  • Notes
  • Vaccination information
  • Lab results
  • Imaging reports
  • Travel veterinary documents
  • Other veterinary files uploaded by the owner or practice

TweedPet stores and organises this information as supplied. It does not clinically review or validate veterinary records.

Veterinary record requests

When an owner creates a veterinary record request, they may provide:

  • The pet involved
  • Veterinary practice name
  • Veterinary practice email
  • An optional note
  • The type or purpose of the request, where supported

TweedPet also records the status of the request.

TweedPet uses this information to send and track the owner's veterinary record request. Whether and when a practice responds is decided by the practice.

Information created when you use TweedPet

To run its workflows, TweedPet records certain operational information as the service is used. Examples include:

  • Record request status
  • Number of records received
  • Share link views
  • Record download activity
  • When a link was last opened, where available

TweedPet may record certain access activity so owners can understand when shared records have been viewed or downloaded.

When a veterinary practice uploads records

A veterinary practice may receive a secure upload link after an owner creates a veterinary record request. The practice can use the link without creating a TweedPet account, and uploaded files are added to the relevant pet's record.

When you share records

Pet owners can create secure share links so another veterinary professional can view or download the pet's available records.

The owner can revoke the share link.

TweedPet may record viewing and download activity where supported by the service.

Service notifications

TweedPet may send service emails relating to account activity, veterinary record requests, record uploads, shared record access and reminder notifications where those features are active.

Automatic reminders

TweedPet uses saved reminder dates and account contact information to send included automatic notifications for active pets.

How long information is kept

Under legal review

Final retention periods will be confirmed in the legally reviewed privacy notice before launch.

When information may be shared

Under legal review

TweedPet uses service providers needed to operate the platform, such as hosting, email delivery and payment processing for additional pet plans. Final provider and legal disclosures will be included in the reviewed privacy notice before launch.

Your control over sharing

  • You decide when to create a share link.
  • You can revoke a share link.
  • Veterinary practices do not need a TweedPet account.
  • Records stored in your account remain associated with the relevant pet.
  • Expiry of an additional pet plan does not remove pet records.

Keeping information secure

TweedPet is designed to use controlled account access and secure public links for veterinary uploads and record sharing.

Privacy questions

If you have a question about how TweedPet handles information, you will be able to contact us about privacy. Final privacy contact details will be included in the reviewed privacy notice before launch.
